Getting your documents in
Nothing else in Primefold RI works until documents are in it. There are three routes, and most customers end up using all three.
Before you start
- Know which folders matter. Connecting a whole corporate drive is rarely the right first move.
- Confirm you are allowed to bring the files into the workspace; everyone in the organisation will be able to see synced documents.
Steps
- Direct upload. Documents → Upload.
- Connect a document source. Settings → Integrations → Google Drive or SharePoint. Choose the folders that matter; files sync in automatically, including new ones added later. This is the intended setup for a real customer: the documents stay where the team already keeps them. Connecting a source is an Admin action.
- Ask Sunday to fetch them. Once a source is connected, the assistant can browse it, read files without importing them, and import selectively: "Search my SharePoint for lease contracts relating to the Berlin properties, then import the PDFs into the library." Genuinely useful when a folder has 400 files and 30 are relevant.

What makes a good document set
- Native PDFs beat scans. Scanned documents go through text recognition and are usable, but extraction quality drops noticeably.
- Include the amendments. A lease without its Nachträge gives a confidently wrong picture of current terms, and produces "mismatches" in validation that are really just outdated readings.
- Include the rent roll. Without it, the most valuable check in the product has nothing to compare against.
- Password-protected or digitally signed PDFs may fail to process. The system reports this rather than silently dropping them.
- Start with one asset's full data set rather than a partial upload across many assets. It gives you a complete, believable first result to sanity-check.
- Non-standard formats (hand-amended PDFs, non-German leases) still work, but budget extra review time on the first pass.
If a colleague cannot see a file you uploaded
Documents uploaded directly may default to private to the uploader, whereas documents synced from a connected source are visible to the whole organisation. This is the first thing to check.
